Client agrees to pay Acromatico $0 (Lump Sum All-Inclusive) in consideration for the professional event photography services to be rendered by Acromatico.
A non-refundable deposit of 50% is required to reserve the specified services and event date. The deposit will be subtracted from the total payment owed by Client upon completion of services.
The remaining balance of 50% is due 7 days prior to the event date. Acromatico does not begin post-production work or deliver final images until final payment is received.
Acromatico will provide Client with professionally edited high-resolution images via secure online gallery within 30 business days of event completion, unless Rush Delivery or Same-Day Sneak Peek service has been purchased.
All images will be professionally color-corrected, exposure-adjusted, and optimized for both web and print use. Images will remain available for download for a minimum of 90 days from delivery date.
If Rush Delivery (7-day) is selected, edited images will be delivered within 7 business days. If Same-Day Sneak Peek is selected, a curated selection of 20-30 edited images will be delivered within 24 hours of event conclusion.
All deposit fees are non-refundable. A minimum of 60 days notice is required for cancellation of this contract by Client. Any cancellation made with less than 60 days notice prior to the agreed upon event date will result in full payment by Client.
If cancellation is initiated by Acromatico due to circumstances beyond our control, all money paid to Acromatico from Client shall be fully refunded, including the deposit fee. Refund shall be paid out within 30 calendar days from the cancellation date.
Acromatico retains copyright ownership of all images produced. Upon final payment, Client receives a perpetual, non-exclusive license to use the images for the following purposes:
• Internal company communications and presentations
• Social media, website, and marketing materials
• Press releases and media kits
• Annual reports and corporate publications
Client agrees that Acromatico may use images from this event for portfolio, website, social media, and promotional purposes. If Client requires exclusive rights or image usage restrictions, a separate licensing agreement must be negotiated.
Images may not be resold, sublicensed, or used for commercial purposes beyond Client's own business operations without written permission from Acromatico.
Acromatico agrees to provide professional event photography services as specified in the Services Provided section, with full artistic discretion for composition, lighting, and editing style.
If additional coverage hours are required beyond the contracted package, they will be billed at $400 per hour per photographer. Additional hours must be approved by Client before they are rendered.
Acromatico is not responsible for missed shots due to event schedule changes, key individuals not being present, venue restrictions, or details not communicated to Acromatico in advance.
Acromatico is limited by venue guidelines and regulations. Client agrees to coordinate with venue management to ensure photographer access to all necessary areas. If venue restrictions prevent specific shots, Acromatico is not liable.
If the event venue is located more than 50 miles from Fort Lauderdale, FL, travel expenses (mileage at $0.65/mile or airfare, accommodations, and ground transportation) will be invoiced separately unless already included in the package price.
If performance of this contract is prevented by causes beyond either party's reasonable control (acts of God, fire, natural disasters, pandemics, government restrictions, illness, etc.), the affected party shall provide written notice, and obligations will be suspended.
In such cases, Acromatico will make every reasonable effort to secure a qualified replacement photographer. If a suitable replacement cannot be found, liability is limited to a full refund of payments received.
Acromatico takes the utmost care in capturing, transporting, and processing all images. However, in the unlikely event that images are lost, stolen, or destroyed for reasons within or beyond Acromatico's control, liability is limited to a full refund of all payments received.
Acromatico carries professional liability insurance and equipment backup systems to minimize risk. Digital files are backed up to multiple secure locations throughout and after each event.
Client agrees to indemnify and hold harmless Acromatico from any claims, damages, or legal fees that arise from litigation by Client against Acromatico resulting from the acts or omissions of Acromatico.
Acromatico shall provide its services in a timely and professional manner, meeting generally acceptable industry standards for professional event photography, and will provide a standard of care equal to care used by professional photographers in the corporate event industry.
This agreement will be construed under Florida law. Should any litigation arise as a result of this agreement, it will be litigated in the State of Florida.
This Enterprise Event Photography Agreement constitutes the final and complete agreement between Company Name and Acromatico. This contract supersedes any prior written or oral agreements between the parties. Any modifications must be made in writing and signed by both parties.
